Responsibilities:

 

  • Provide legal and secretarial support to PRC subsidiaries, including but not limited to:
    1. Responsible for a full set of company secretarial duties, including preparation of board meeting of PRC subsidiaries, meeting documentation and procedure arrangements, follow up with stakeholders; notarization and legalization of documents; preparation, circulation and safe keeping of board resolutions and the relevant documentation; assisting in execution and filing of corporate documents, maintaining updated records; establishment, corporate change and liquidation matters, etc.;
    2. Responsible for IP related matters, including trademark applications and renewals, collection and safe keeping of evidence for use of trademark, infringement case handling, IP administrative procedures handling, formulation of trademark strategy, maintaining updated records and regular update report etc.;
    3. Responsible for a full set of administrative duties, including coordinating team members, preparation of annual legal conference; preparation and consolidation of head count budget and legal fee budget for SME legal team; arranging conference call and meeting; arranging trips, expense claim; handling billing and invoice payment, keeping register of invoices, register of fee quotes, preparation and consolidation of payments for required approval; register of training and seminar record for SME legal team; stationery stock maintenance and related ordering; taking file notes; uploading, scanning, copying and filing documents; keeping an updated file index and record; timely update of all records, etc.;
    4. Support to the team in insurance claim, government investigation, preparation of tender documents, other submissions and various reports;
    5. Assist in proof-reading, drafting, reviewing and filing legal and company secretarial related documents;
    6. Assist in handling and monitoring company name reservation, document and chop management;
    7. Coordinate with internal parties and external professionals for corporate affairs;
    8. Provide administrative support to Mainland GC.

 

Requirements:

  • Degree in law
  • PRC Intellectual Property background is preferred
  • Minimum 6 years working experience in company secretarial field or legal industry
  • Responsible, independent, detail-oriented, well-organized, strong communication skills, familiar with MS Word, Excel and Chinese word processing
  • Proficient in written and spoken Chinese and English, Mandarin is a must
  • Candidates with less experience will be considered as Senior Officer
