Responsibilities
- Provide full range administrative support to the team and be responsible for providing wide varieties of top-notch secretarial support to the senior management
- Extensive travel coordination including arrangement of flights, visa applications, hotels and transportations
- Assist in appointment coordination with internal and external parties across multiple time zones
- Schedule and organize internal and external events such as meetings, conferences, and departmental activities as needed
- Prepare and draft correspondences (such as invitations/enquiries/appointments), reports and presentation/meeting materials independently and accurately, in English and Chinese
- Provide assistance in data management, expenses claim, documentation, etc
- Greet and handle phone calls for senior executive tactfully and skillfully
- Be a backup to Senior secretaries of the team when Senior Secretaries are on leave
- Support ad-hoc assignments and projects as assigned and required
Requirements
- Degree in Business Administration or related discipline
- 3-10 years of relevant experience in providing secretarial support for executives in sizable organizations
- Good interpersonal and communication skills, meticulous, well-organized, multi-tasked, self-motivated with strong sense of responsibility and mature mindset
- Ability to prioritize and simultaneously handle multiple tasks with flexibility
- Ability to work under pressure and meet tight deadlines
- High professional standard of integrity & confidentiality
- Advanced knowledge of Microsoft Word, Excel, PowerPoint and Chinese word-processing
- Excellent command of spoken and written English and Chinese (Cantonese and Putonghua)
- Immediately available is preferred
