Responsibilities

  • Oversee a comprehensive range of office administration duties, including the repair and maintenance of office facilities, management of the office security system, procurement of supplies and equipment, and processing office-related payments.
  • Execute planned preventive maintenance activities, ensuring timely completion of all work orders and assignments.
  • Manage various aspects of ad-hoc office maintenance, including general repairs, MVAC systems, and security systems, while effectively coordinating with technicians and stakeholders.
  • Supervise assigned vendors to ensure services are delivered in line with service level agreements, covering office equipment providers such as copiers, IP phone systems, and secure document destruction services.
  • Plan and ensure the seamless operation of the mailroom while managing OA duties and scheduling.
  • Maintain furniture and warehouse inventory levels, oversee logistics, disposal processes, and ensure safety compliance in accordance with company policies.
  • Oversee company assets, including vessels and bungalows.
  • Coordinate corporate travel arrangements across departments, collaborating with corporate travel agencies.
  • Manage ad-hoc projects as assigned.

 

Requirements

  • Diploma holder or above
  • 5-7 years of relevant experience in building services and facility management within a sizable organization.
  • Strong knowledge of health and safety standards in a large office complex.
  • Adaptable to evolving needs and demands, capable of thriving in a fast-paced environment while meeting tight deadlines.
  • Eager to learn and work effectively within a team.
  • Excellent customer service, communication, and interpersonal skills.
  • Proficient in both written and spoken English and Chinese.
  • Proficient in computer applications, including Word, Excel, PowerPoint, Microsoft Edge, and Canva.
  • Open to flexible working hours and locations, including overtime and weekends.
