Responsibilities
- Perform general office administrative & soft services duties
- Work closely with different internal departments, pursue timely and effective communication
- Handle invoice payments, update payment records and maintain proper filing system
- Liaise with service providers/suppliers, price quotation, perform cost and service standard analysis and make recommendation
- Assist in coordination and operation of regular company event and meeting, including mover arrangement, venue set up, secondment coordination as well as onsite support
- Backfill receptionist during lunch hour & when needed
- Monitor office cleaning / maintenance work (occasionally work during non-office hours)
- Assist in Group Administration projects (e.g., renovation, category planning) & Procurement
- Assist implementing of Group Administration procedures to ensure the efficiency of company operations (i.e., process, reporting, and functional standard consistency)
- Support office sustainability implementation including Wellness and Green initiatives such as sourcing, generate reports, prepare posters / slides
- Assist on Intranet content management include but not limited to prepare draft and update in timely manner
- Manage inventory and delivery schedule, support stocktake regularly
- Handle local procurement of ad-hoc office appliances, equipment & sundries
- Manage vendor performance and service reporting
- Perform ad hoc duties assigned by the management team
- Able to anticipate unexpected guest needs and react promptly and tactfully
- Willing to work in flexi working hours occasionally to support company events / monitor vendors’ service
Requirements
- Diploma holder or above
- 3-5 years or above relevant working experience in sizable company (Candidate with less experience will be considered as Officer)
- Experience in hospitality industry, event supporting and outsourcing vendor management will be a definite advantage
- Able to adapt changing needs, able to work in a fast-paced environment and meet tight deadlines
- Good customer service, communications, and interpersonal skills with pleasant personality

- Good planning skill, well-organized with strong numerical sense and business acumen
- Good command of written and spoken English and Chinese (including Mandarin)
- Proficiency in MS Office and Chinese Word Processing
