Responsibilities:

  • Provide all-round secretarial and administrative support to senior executive

  • Assist in appointment coordination with internal and external parties across multiple time zones

  • Extensive travel coordination including arrangement of flights, visa applications, hotels and transportations

  • Prepare and draft correspondences (such as invitations/enquiries/appointments), reports and presentation materials independently and accurately, in English and Chinese

  • Greet and handle phone calls for senior executive tactfully and skillfully

  • Schedule, coordinate and organize events such as meetings, conferences, and departmental activities as needed

  • Assist in ad-hoc tasks and projects as assigned

 

Requirements:

  • Degree holder in Business Administration, Communication, Hospitality & Tourism Management or related disciplines

  • Minimum of 3-5 years of relevant experience working in large corporations, experience in extensive travel arrangements would be an advantage

  • Proficiency in MS Office, including Word, Excel and Chinese word-processing

  • Excellent command of spoken and written English and Chinese (Cantonese and Putonghua)

  • Good communication skills, meticulous, well-organized, multi-tasked, self-motivated with strong sense of responsibility and mature mindset

  • Ability to work under pressure and meet tight deadlines

  • Be available for additional working hours as needed, particularly during peak travel periods / when urgent tasks arise

  • High professional standard of integrity & confidentiality

  • Candidates with more experience in travel arrangement will be considered as Senior Secretary
